Automate help center article creation from Tella videos using Zapier
This guide will walk you through setting up an automated workflow to create help articles from your Tella videos using Zapier. This process leverages Tella's public API to streamline content creation for your help center.
Prerequisites:
A Tella account
A Zapier account
Step by step guide:
Create a new Zap:
Log in to your Zapier account and click on "Create Zap" in the dashboard.
Set up the trigger:
App: Select "Tella".
Event: Choose "Video Added to Playlist".
Account: Connect your Tella account. If you haven't already, you'll be prompted to log in to Tella and authorize Zapier access for your organization.
Click "Continue" and then "Test Trigger" to ensure Zapier can retrieve data from your Tella account, such as playlist names and video IDs.
Filter videos for the Workflow:
Add a "Filter" step to ensure this workflow only processes videos added to specific playlists.
Condition: Set the condition to "Playlist Name" "contains" "Help Center". This ensures only videos relevant to your help center are processed.
Click "Continue" and "Test Filter" to confirm it works correctly.
Fetch video transcript:
Add another step and select "Tella" as the app.
Action Event: Choose "Find Video".
Account: Ensure your Tella account is selected.
Video ID: Use "Custom Value" and map the "Video ID" from the trigger step (Step 1).
Click "Continue" and "Test Step". This action retrieves detailed information about the video, including its transcript. Verify that the "transcript status" is "ready".
Generate help article content with AI:
Add an "Action/Event" step and choose an AI application (e.g., "Write by Zapier" or a specific AI model like Google's 2.5 Flashlight).
AI Model: Select your preferred AI model.
Input Fields: Map the "Transcript Text" from the "Find Video" step (Step 4) into the AI's input field.
Knowledge Sources (Optional but Recommended): To improve the AI's output and ensure it matches your brand's tone, you can add existing help articles as knowledge sources. For example, copy the text from a relevant article on help.tella.com and add it here.
Prompt: Customize the prompt for the AI. You can instruct it to generate an "Article Body" based on the provided transcript and knowledge sources. Utilize features like "Improve prompt" and "Generate Preview" to refine the output.
Implement human review:
Add a "Human in the Loop" step, such as "Request Approval".
Instructions: Write clear instructions for the reviewer, e.g., "Please review the following help article."
Fields: Include the "Article Title" and "Article Body" generated by the AI step.
Approve/Decline Labels: Define labels like "Approved" and "Declined".
On Decline: Configure the workflow to "Stop the run" if the article is declined.
Notification: Set up a notification to alert the reviewer. For instance, use Slack to send a message.
App: Select "Slack".
Event: Choose "Send Channel Message" or "Send Direct Message".
Account: Connect your Slack account.
Message Content: Map the "Article Title" and "Article Body" from the AI step to the Slack message.
Click "Test and Send" to verify the notification.
Publish to your help center:
This step involves sending the approved article to your help center platform (e.g., Zendesk, Intercom, or a custom solution).
If your help center platform is not directly integrated with Zapier, you may need to configure a custom HTTP request to send the data to your help center via API.
Publish and test your Zap:
Once all steps are configured, click "Publish" to activate your Zap.
To test, add a video to a playlist in Tella that contains "Help Center" in its name.
Check your Zapier "Run History" to monitor the workflow's execution.
Verify that you receive the review notification (e.g., in Slack).
Click the approve or decline button. If approved, and the help center integration is set up, the article will be published.
